TitanApps - Reserving Rooms in Google Calendar

This document will outline the steps to reserve a conference room on campus using Google Calendar.

How Do I Reserve a Room in Google Calendar?

  1. Create an event in your calendar for the time and date during which you'll need the room
    • To create an event, you can either:
      • click the red Create button in the upper left-hand corner, OR
        Click Create in Upper Left Hand Corner
      • you may click the time in your calendar at which you'd like to schedule the event.
        Click within the calendar to create an event
  2. Fill in the information about your meeting (i.e., Title of Event, date, start time, end time, description, etc.)
  3. Invite any guests you may need to
    • To invite guests, simply search their name in the box on the right-hand side and click "Add"

  4. On the right-hand side, click "Rooms, etc."
    • Make sure the box that says "Show only available" is checked
    • This is in the same area where you add guests
      Click rooms, etc. on the right-hand side
  5. Scroll through the list until you find the room you'd like to reserve
  6. Select the room you'd like to reserve, and click "Add"
    Click "Add"
  7. When you have finished editing the event, click Save in the upper right-hand corner

Why Isn't the Room I Want Listed?

If you are looking for a particular room that is not listed, it may be unavailable during the time you selected. To view the rooms that are unavailable at that time, uncheck the "Show only available" box. Any room with a red box next to it is unavailable during the time you've selected. 

Unavailable rooms will have red boxes in front of them

You may try another date/time if you want that particular room, or you may simply choose another room that is available instead.

I Selected the Wrong Room, How Do I Change It?

If you selected the wrong room or need to change the room you selected, you may either

  • Click "Remove" next to the room you've selected in the rooms list 
Click remove
  • OR Click "x" next to the room name in the area where guests are listed.
Click x

Once you have removed the incorrect room, you may go through the list of rooms and add the correct room, following the steps mentioned previously in this document.
