Adobe Acrobat - Additional Organizational Tools

This guide will show you various different ways of organizing and modifying a PDF file.

Being able to rearrange, change, and extract pages from PDF is essential to being able to organize PDFs just the way they need to be designed. Acrobat has various options to accomplish this task.
*The videos here are not required, but are included if there are further questions.

Inserting Pages

Inserting pages lets new pages be added to an already created PDF. 
  1. Open the PDF which should be modified. 
  2. Select Organize Pages from the tool pane. 
  3. Select Insert from the Organize Pages toolbar.
    • There are various options here. Select whichever one is needed.
  4. Select the file which is to be inserted.
  5. Select the location desired for the file to be added in the Insert Pages pop-up window.

Changing Page Order

Changing page order allows pages to be swapped around within an already created PDF. There are two ways to change page order.

Option 1:

  1. Select Organize Pages from the tool pane.
  2. Place the cursor over the page which needs to be moved. Left-click and hold. Now the page can be dragged to wherever it needs to go in the PDF.

Option 2:

  1. Select Document from the main toolbar.
  2. Select Page Thumbnails in the Navigation Pane.
  3. In the thumbnails section of the Navigation Pane, place the cursor over the page which needs to be moved. Left-click and hold. Now the thumbnail can be dragged around into a new order and the PDF file will correspond to the new thumbnail order. 

Replacing Pages

The idea behind replacing pages is to allow updated versions of pages to be directly brought into the PDF. However, it can be used to replace any page with whatever page is desired. There are two ways to do this.

Option 1:

  1. Select the Organize Pages tool from the Tool Pane.
  2. Select the page desired to be replaced so that it has the blue highlight on it.
  3. Select the Replace tool from the Organize Pages Toolbar.
  4. Navigate in the directory to find the desired page and select it.
  5. Select OK on the Replace Pages pop-up window and again on the 2nd pop-up window.
  6. The page has now been replaced.

Option 2:

  1. Select Document from the main toolbar.
  2. Select Page Thumbnails in the Navigation Pane.
  3. Select the thumbnail for the page which should be replaced.
  4. Select the Options Tool from the Page Thumbnails toolbar. 112
  5. Select Replace Pages from the drop-down menu. 

Splitting a Document

Splitting a document can be used in various situations such as having to send a large file to someone who can’t accept large files. Instead, send them two smaller files. 
  1. Select the Organize Pages from the Tool Pane.
  2. Select the Split tool from the Organize Pages toolbar. 
  3. A new toolbar will show up beneath the Organize Pages toolbar. 
    • Select which method the PDF should be split by.
    • Select Output Options and direct where the new PDFs should end up.
  4. Select the Split button from the toolbar below the Organize Pages toolbar.
