Adobe Acrobat - Adding Sticky notes and Other Annotations

This guide will show you the various ways to add comments and help workflow between various people on the same PDF.

In Acrobat, there are various tools allowing people to comment on things which could be added or redacted from a PDF. It allows users to leave things like Audio comments or attach other files to the PDF. Here are the tools included in Acrobat for annotating. All of these tools can be accessed by selecting the Comment Tool from the Tool Pane.

Sticky Notes

  1. From the Comment Toolbar, select the Sticky Notes Tool.1
  2. Move the cursor to the location where the sticky note is desired. Left-click to bring up the sticky note input text box.
  3. Type in the desired text. 
  4. Once the text has been entered, left-click outside of the sticky note to collapse the note again.
  5. To move the sticky-note icon, left-click and drag the sticky note icon to the desired location.

Highlighting

  1. From the Comment Toolbar, select the Highlight Tool2
  2. To highlight, left-click and drag the portion of text that should be highlighted.
  3. To change the color of the highlight, right click the highlighted section.
  4. From the pop-up menu, select Properties
    • In Properties, both color and opacity can be changed. 

Underlining

  1. From the Comment Toolbar, select the Underlining Tool3
  2. To underline, left-click and drag the portion of text that should be underlined.
  3. To change the color of the underlined, right click the underlined section.
  4. From the pop-up menu, select Properties.
    • In properties, color of the underline can be changed as well as the shape of the line.

Adding Notes to Text

  1. From the Comment Toolbar, select the Adding Notes to Text Tool.4
  2. Select the portion of the text by left-clicking and dragging. This will highlight the text and allow a note to be entered for the corresponding text. It is a combination of the Sticky Note Tool and the Highlight Text tool.

Enable Text Correction Keyboard Shortcuts

The keyboard shortcut tool is a combination of the next three tools: Strikethrough, Adding Notes to Replace Text, and Adding Notes to Add Text. The shortcut makes the tools function like a word processor.
  1. Select the Enable Keyboard Shortcuts Tool from the Comment Menu. 5
  2. To signify a Strikethrough, move the cursor to the end of the area which should be deleted. Left-click and then press the delete key to strikethrough.
  3. To signify to replace piece of text, left-click and drag over the part that should be deleted, and simply type in what should replace it.
  4. To signify to add new text, place the cursor where the new text should go. Left-click and type.
To use these tools without the keyboard shortcuts, instead follow the directions for each tool below.

Strikethrough

  1. From the Comments Toolbar, select the Strikethrough Tool6
  2. Select the portion of the text that should have a strikethrough on it by left-clicking and dragging over the text. The strikethrough will then appear. 

Adding Notes to Replace Text

  1. From the Comments Toolbar, select the Add Notes to Replace Text Tool.7
  2. Select the portion of the text that should be replaced by left-clicking and dragging over the text. A text box will pop up. Type in the text box what text should be replacing the striked-out text.

Adding Notes to Add Text

  1. Place the cursor where the added text should be and left-click.
  2. From the Comments Toolbar, select the Add Notes to Add Text Tool8
  3. A text box will pop up where the desired text can be entered.  

Adding Text Comment

  1. From the Comments Toolbar, select the Add Text Comment Tool9
  2. A Text Comment Toolbar will pop up where the style and size of the text can be changed.
  3. Place the cursor where the text comment should go. Left-click and type your note.

Add Text Box

  1. From the Comments Toolbar, select the Add Text Box Tool10
  2. Place the cursor where the top left corner of the text box should be. Left-click and Drag until the desired text box size is reached.
  3. Type the desired text into the box.

Draw Free Form

  1. From the Comments Toolbar, select the Draw Free Form Tool.11
  2. To draw, left-click and drag whatever shape is desired.
  3. To edit properties such as boldness and color, right-click the drawing and then select Properties.

Erasing Tool

  1. From the Comments Toolbar, select the Erasing Tool12
  2. To erase, left-click and drag over the previously free form drawing. 

Stamp Tool

  1. From the Comments Toolbar, select the Stamp Tool. 13
  2. A drop-down menu will show various different stamps. Left-click to select the desired stamp.
  3. To place the stamp on the PDF, left-click in the desired area. 
    1. To re-arrange the stamp, left-click and drag.

Attachment Tool

  1. From the Comments Toolbar, select the Attachment Tool14
  2. Move the cursor to the desired position on the PDF. Left-click to bring up the directory window. Select which file should be attacked and select Select.
  3. The design of the attachment annotation can be changed immediately after selecting Select. 

Audio Comment

  1. From the Comments Toolbar, select the Audio Comment Tool. 15
  2. Move the cursor to the desired location for the annotation. Left-click to place the Audio Comment icon.
  3. The sound recording menu will pop-up. Select Record. Select Stop after finishing recording.
  4. Press Play to replay the recording and check the work.
  5. Select OK to attach the audio recording. 
  6. The design of the attachment annotation can be changed immediately after selecting OK.
